Using STASHD with Square

Connect your Square till so every sale earns points — then choose how customers get their rewards: automatically at your Square till, just like Square Loyalty, or in the STASHD app with stamp cards, a points shop and collectable packs.

How it works

When your staff add a customer to a sale in Square, STASHD sees the payment, recognises the customer and adds their points. There is no app or tile for your staff to learn — everything happens in Square the way it already does. What you choose is how those points turn into rewards.

Before you start

  • Your STASHD manager login.
  • The Square login for your business — an owner, or someone who can authorise apps.
  • Your sales taken in Square in Australian dollars.
  • An idea of which way you want to run rewards (see Step 2).

Step 1

Connect Square

About 5 minutes

  1. Start the connection

    In your STASHD dashboard open Settings → Integrations and press Connect on the Square card, then Continue to Square. You need the Square login for your business — an owner, or a team member who can authorise apps.

  2. Approve STASHD in Square

    Sign in to Square, choose your business and approve. You come straight back to STASHD.

  3. Match your locations

    Square calls each register or store a location. Pick the STASHD venue each one belongs to. Do this before you start selling — sales from a location that isn't matched are ignored, and aren't counted later when you match it. If some of your shops aren't joining STASHD, leave those Not matched and nothing there changes.

  4. Set points per $1 and finish

    Choose how many points every dollar spent at your till earns (0 to 10, default 1), then press Finish setup. There is nothing to install on your devices. You can change the rate any time on the Earning tab.

Silent Mode — works like Square Loyalty

Customers never need an app. Every sale earns points, and once a customer has enough, Square takes the reward off their bill automatically when your staff add them to the sale — then uses up their points.

What turning it on changes

  • A discount named STASHD · … is added to your Square catalogue, where your staff can see it.
  • Customers with enough points get the money off automatically — nobody is asked first — and their points are spent at the same moment.
  • Your stamp card and mystery packs switch off, because a Silent Mode customer never opens the app to see them.
  • Points are earned per $1 spent at the till rather than per visit.
  • Your points shop closes in the STASHD app — points are only spent at the till, so nobody can use the same points twice. Customers who open the app see how the till reward works instead.

Set it up

About 10 minutes

  1. Choose the reward

    On the Earning tab, under The reward, set Points needed, Money off and an optional Minimum bill, and read What this costs you. Press Save reward settings — this only stores the numbers; nothing changes in Square yet.

  2. Coming from Square Loyalty? Import first

    Follow Bringing across your Square Loyalty members below before you switch Silent Mode on.

  3. Turn on Silent Mode

    Switch on Silent Mode — automatic at the register. Read the Turn on Silent Mode? box and press Turn on Silent Mode. STASHD checks every customer first, then shows how many are ready for their reward. This can take a minute. The discount is added to your Square catalogue only at the locations you matched — your other shops carry on exactly as they are. Match every location that should give the reward before you switch it on.

  4. Test two sales

    Add a customer to a sale the normal way. Someone below the reward pays full price and earns points; someone over it gets the money off automatically and their points are used. Check both on the Sales tab.

At the till

  • Add the customer to the sale before taking payment — that's when Square applies the reward. Adding them afterwards still earns points, but can't discount a sale that's already paid.
  • A customer who reaches the reward on a sale gets the money off on their next visit.
  • Never apply the STASHD discount by hand. Square applies it to the right customers by itself.

Changing things later

  • New reward amounts: change them under The reward and press Save and update Square. Every customer is re-checked before the discount goes back on, so nobody keeps a discount they no longer qualify for.
  • That button is also your re-sync. While Silent Mode is on it reads Save and update Square, and pressing it without changing anything re-checks every customer there and then — use it whenever you think someone should be getting the discount and isn’t. It tells you how many have earned the reward, and if Square wouldn’t accept some of them, pressing it again finishes the job. While Silent Mode is off the same button reads Save reward settings and only stores the numbers.
  • Sending someone points from the Customers list moves them into the reward group straight away if it takes them over the line. They don’t have to buy anything first.
  • Refunding a sale takes the points back, and if that drops them below the reward they come out of the group in the same moment — so the till stops offering a discount they can no longer pay for.
  • Turning Silent Mode off removes the STASHD discount from Square and puts your program back exactly the way it was before — stamp card, packs, points per visit and points per $1. A points rate you changed while in Silent Mode is kept. STASHD then checks your whole Square catalogue and removes anything of ours it finds, whether or not we had it on record.
  • The customer group stays, renamed “… (inactive)”. It is only a list of who has earned enough — with the discount gone it takes nothing off any sale. Keeping it means nobody loses their place in the queue for the next time you switch Silent Mode on.
  • Don’t build your own Square discount against that group. STASHD can’t see a rule it didn’t create, so it would keep giving money off without ever taking the points — on every visit. If we spot one we’ll email you rather than touch it.

If you used Square Loyalty

Bringing across your Square Loyalty members

Your members keep their points instead of starting from zero. STASHD only reads Square Loyalty — nothing there is changed, and nobody is texted or notified. It works for either mode and takes two short sessions: an import you can do from anywhere, and a switch-over at the counter a few days later. Members without a mobile number can't be brought across.

Import your members

About 30 minutes · can be done remotely

  1. Check what would happen

    On Earning, open Square loyalty import, set STASHD points per Square point and press Check what would happen. Nothing is saved. A good rule for the rate: your STASHD reward points ÷ your Square reward points — if a free coffee was 10 points in Square and your STASHD reward is 100 points, use 10.

  2. Spot-check a few regulars

    Search the member list by name or the last 4 digits of a mobile and compare with Customers → Loyalty in your Square Dashboard. On STASHD means the points go onto an existing STASHD account with that mobile — check those look like the right person.

  3. Import

    Leave Match Square balances unticked and press Import. Keep the page open until it says Imported … customers and … points. If it also says some could not be imported, press Import again — it picks up only the ones it missed, and nobody is given their points twice.

  4. Un-match your location until switch-over day

    On Locations, set your location to Not matched. Until you switch over, sales earn nothing in STASHD, so nobody collects points twice. Square Loyalty carries on exactly as before.

Session 2

Switch over at the counter

About 45 minutes · pick a quiet time

  1. Match your location again

    On Locations, pick your STASHD venue next to your Square location.

  2. Catch up with Square

    Press Check what would happen, tick Match Square balances, read the red line that says how many points it would take back, then press Import. This adds points customers earned in Square since your import and removes points they spent there.

  3. Turn off Square Loyalty

    In your Square Dashboard go to Settings → Account & Settings → Pricing & subscriptions, open Square Loyalty and Unsubscribe. Square keeps your customers' Square points if you ever subscribe again.

  4. Import one last time

    With Match Square balances still ticked, press Check what would happen and Import again to pick up anything from the last few minutes.

  5. Finish your mode’s setup

    Silent Mode: turn it on now and do the two test sales. Rewards in the app: do a test sale and a test redemption. Then brief your staff.

What “Match Square balances” does

Normally the import only ever adds points. With Match Square balances ticked, it also makes every imported customer's STASHD points match their Square Loyalty balance. Anyone whose Square points have gone down since they were brought across will have that many STASHD points removed — for example a customer who redeemed a free coffee in Square between your two sessions.

  • Only points that came from the import are ever removed — points earned through STASHD are never touched.
  • Nobody goes below zero.
  • Before you press Import, the screen says how many points it would take back, and the member list shows each one.
  • It is off unless you tick it. Use it on switch-over day.

Signing up new customers

When your staff add someone at the till who isn't on STASHD yet — a customer they've just created in Square — STASHD starts collecting points for them and sends one text so they can claim them. The link takes them to your venue page, where they sign up on the spot and their points are waiting. Nothing happens to anyone already on STASHD, and nobody is ever texted twice. The dashboard shows the exact text before you turn it on.

Leave it off while you're trying STASHD out — otherwise the first busy morning texts every regular your staff add to a sale. It only signs people up at a matched location.

Also text customers already in your Square directory widens this to customers who were in Square before today — for cafés that never really used Square's customer list before.

Recognise returning cards

Once staff have added a customer to a sale, STASHD can recognise the same card next time, so staff don't have to add them again. We never see or store card numbers — only an anonymous code from the bank. Cash can't be recognised.

Customers can turn this off for themselves in the STASHD app, and their choice always wins. If you switch it on, tell your customers — a line on the receipt or a small card by the till is enough.

Points per $1 spent

What every dollar at the till earns, from 0 to 10. A $4.50 coffee at 1 point per $1 earns 4 points. Set it to 0 and customers still get their normal visit rewards, just nothing extra for spend.

The Sales tab

Every Square sale that reaches STASHD is listed, newest first — including the ones that earned nothing, with the reason. The label on each sale means:

Awarded
Points and a check-in were added.
Spend only
They had already checked in at this venue within 10 minutes, so only the points for spend were added.
Refunded
The sale was refunded and the points for spend were taken back.
Partly refunded
Part of the sale was refunded, so part of those points came back off.
No points
The sale came to $0, so there was nothing to earn on.
Ignored
The location isn’t matched, or the sale wasn’t in Australian dollars.
No match
No customer was added to the sale (or we couldn’t tell who it was), so nothing was awarded.

Good to know

How does STASHD know who the customer is?

Your staff add the customer to the sale in Square, the way they already do — searching their mobile, or from the receipt screen. We match that Square customer to their STASHD account by mobile number or email. With “Recognise returning cards” on, a card that customer has paid with before can be recognised too.

Which sales earn points?

Paid sales in Australian dollars at a matched location, with a customer we can identify. Points are rounded down to whole points, and only the first $150 of a single sale counts towards spend points.

What happens with refunds?

When a sale is refunded in Square, the points earned for what was spent come back off automatically — all of them for a full refund, part of them for a partial refund.

Do ranks change with spend?

No. Ranks count visits, not dollars, so spending more doesn’t move someone up faster.

Can I use Square and another POS?

No — a brand connects one POS at a time. Disconnect the other one first.

I switched Silent Mode on and got a message about reconnecting Square

Your Square connection was made before Silent Mode existed. Disconnect Square and connect it again — you’ll approve one extra permission, and nothing you’ve set up is lost.

Someone deleted the STASHD discount in Square

Open Earning and press “Save and update Square” without changing anything. It checks the discount is really there, at the right locations, rebuilds it if it isn’t, and re-checks every customer against the reward. It is safe to press any time.

I have several shops in Square — do they all have to join?

No. In Silent Mode the till discount only exists at the Square locations you have matched to a STASHD venue. Leave the others Not matched and nothing changes there: no discount, no points, no sales counted. Match or un-match a location later and the discount follows within the same click. The one thing you cannot do is un-match your last matched location while Silent Mode is on — switch Silent Mode off first.

Can I disconnect Square?

Yes, from the bottom of the Overview tab. If Silent Mode is on, disconnecting switches it off first: the STASHD discount is removed from your Square catalogue and your program goes back the way it was. If the discount can’t be removed, Square stays connected and the screen tells you why. Customers keep everything they’ve earned, refunds of sales already counted still take their points back, and reconnecting brings your locations and settings back.

I gave a customer points — why isn’t the discount showing at the till?

It should be, straight away. Sending points now re-checks that customer against the reward threshold and puts them in the group on the spot. If it still isn’t showing, open Earning and press “Save and update Square”: that re-checks everybody at once and tells you if Square refused any of them. Bear in mind the reward is worked out across your whole brand, so points earned at any of your shops count towards it.

Silent Mode is off — is anyone still getting the discount?

No. The discount comes off a sale because of a pricing rule in your Square catalogue, and switching Silent Mode off deletes it. The STASHD customer group stays behind, renamed “(inactive)”, but a group on its own is just a list of names — it takes nothing off anything. STASHD also re-checks your catalogue every night and removes any STASHD discount it finds while Silent Mode is off. The one thing to avoid is building your own Square discount aimed at that group: we can’t see it, so it would give money off without ever taking the points. If we find one we’ll email you.

What if I remove STASHD from inside Square?

Switch Silent Mode off in STASHD first. Revoking access in Square cuts us off in the same instant, so if the discount is still up we can no longer reach your catalogue to remove it — it would stay there, discounting sales nobody is counting, until you delete it yourself. Disconnecting from the bottom of the Overview tab in STASHD does it in the safe order.

Can I turn Square Loyalty back on later?

Only after turning Silent Mode off, and bear in mind every sale would then earn in both Square Loyalty and STASHD.
